Main duties of the job
The post holder will work closely with clinicians delivering evidence-based psychological therapies within a CAMHS setting. Working as part of a multidisciplinary team, the Senior Administrator will support referral triage and screening while contributing to monthly service reports.
Key duties include registering referrals, maintaining databases to monitor patient progress, ensuring records remain accurate and up to date, and being available during clinic hours.
The role also involves managing GP appointments, coordinating referral lists, and preparing cases for triage meetings. Outcomes from triage and multidisciplinary team discussions must be accurately recorded on clinical systems, including EMIS and ePJS, indicating whether referrals have been accepted or declined.
The successful candidate will support onward referrals by liaising with relevant services, completing follow-up actions on EMIS, and ensuring documentation is properly recorded and stored across relevant systems.
This role requires strong organisational skills, attention to detail, and the ability to work collaboratively within a busy community mental health environment.

Key responsibilities
- Assist with signposting and the preparation of relevant clinical applications and referrals to internal and external services.
- Support the preparation and dissemination of mental health resources and participate in group interventions where appropriate.
- Work collaboratively with team members and other healthcare professionals to support quality patient care.
- Assist with clinically related administration, audits, statistical data collection, audit and research projects, teaching, and project work.
- Support the development and implementation of research projects.
- Attend and participate in clinical and multidisciplinary team meetings.
- Support engagement with young people and their families by collecting and analysing feedback for service improvement.
- Assist the leadership team and practitioners with project development to identify and engage young people and families.
- Schedule and confirm patient appointments using the Egoton Medical Information System (EMIS) and Electronic Patient Journey System (ePJS).
- Maintain accurate and up-to-date patient records while ensuring confidentiality and information security.
- Process patient intake documentation and ensure all information is complete and accurate.
- Manage telephone calls, emails, and other correspondence, directing them to the appropriate staff members.
- Maintain an effective referral process.
- Promote positive community relationships and support the reputation of the hub.
- Collate referral data and provide accurate monthly monitoring reports to stakeholders.
- Act as a point of contact for queries from young people and support effective resolution.
Qualifications
Essential criteria
- NVQ Level 3 in Business Administration or equivalent administrative or secretarial experience.
- GCSEs or equivalent qualifications in:
- English Language, Grade A–C.
- Mathematics, Grade A–C.
Desirable criteria
- RSA Level 3 Secretarial qualification or an equivalent qualification.
Knowledge, skills and understanding
