Finance Trainee – WFO Job Description
The Finance Trainee – WFO supports day-to-day financial operations, reporting, and compliance activities within the Field Finance team. This entry-level role is ideal for graduates or early-career professionals seeking hands-on experience in finance, accounting, reporting, and NGO financial management.
Working closely with the Field Finance team, the Finance Trainee assists with record keeping, petty cash management, reporting, tax administration, and financial support for operations and programmes, in line with organizational financial manuals and guidelines.
Key Responsibilities
Reporting & Record Keeping

Process petty cash payments, prepare petty cash vouchers, and maintain up-to-date records.

Ensure bank deposits of employee refunds are completed and properly documented.

Assist in preparing monthly financial settlement reports for Partner NGOs and the Field Office.

Prepare journal vouchers and record transactions in Sun System under supervisor guidance.

Support Risk-Based Financial Monitoring (RBFM) activities as required.
Filing & Documentation
-
Maintain an organized filing system for financial documents (hard copy and soft copy) in line with the Financial Field Manual (FFM).

Track, record, and file original invoices received from staff and vendors.

Assist in compiling monthly management financial reports from partner NGOs.

Support timely dispatch of original invoices from the field office to the national office.
Payments & Expense Processing

Assist in recording Employee Expense Reports (EER) according to financial management guidelines.

Support timely payment of petty cash expenses with accurate calculations and daily tracking.

Collect authorized payment documents from the Supply Chain team and verify calculations for further processing.

Ensure all payments follow standard accounting procedures and approval workflows.
Tax Administration

Assist in preparing tax details for deposits and verify TAX and VAT documentation.

Support issuance of eTDS certificates to suppliers as required.

Maintain accurate tax-related records for audit and compliance purposes.
Operational & Programme Support

Provide finance support for workshops, trainings, meetings, and events as required.

Assist programme and operations teams with financial processes and documentation when needed.
KNOWLEDGE/QUALIFICATIONS FOR THE ROLE
Required Education
Bachelor’s degree in management preferably with specialization in Finance.
Preferred Knowledge and Qualifications
Knowledge
- Basic knowledge of accounting theory and financial management and documentation required. Experience in financial reporting is preferable.
- Competent in the use of Microsoft Office computer programs including Word, Excel, PowerPoint
